Challenge

A bit of history: March Code's founders built this platform as members of the project's product team, before the studio existed. We publish this case as the founders' personal experience: the same people now design systems for our clients.

The company ran on an old system that was coming apart at the seams as the business grew: requests got lost, the dispatcher couldn't see where crews were, and billing was done by hand in Excel. At 500+ requests a day, every mistake cost money and reputation.

Crews got no real-time route updates and wasted hours on empty trips. Accounting closed the month 2–3 weeks late because it reconciled data from 5 sources by hand. The architecture made it impossible to connect GPS tracking, inventory and billing to a single data bus.

The company needed a platform that could handle thousands of simultaneous field operations and scale without rewriting the core every six months.

Solution

We designed a cloud ERP/FSM platform built on microservices in AWS. An architecture with queues (SQS) and event-driven communication between services absorbs peak loads and scales horizontally.

What the platform includes:

  • A request intake and dispatch module that routes jobs by location, crew skills and urgency
  • GPS tracking of field crews, updated every 30 seconds and shown on the dispatcher's dashboard
  • Automatic billing when a job is closed: the invoice is generated and sent to the customer with no manager involved
  • Integrations with QuickBooks, Stripe and ACH payments for the US market
  • A mobile app for crews with photo reports, customer e-signatures and offline mode
  • Real-time dashboards with metrics: crew utilization, average response time, share of requests turned into completed jobs

We launched the platform in 9 months in iterations, shipping a new module to production every 3 weeks. The system has been in production since 2019, and it's still run and developed by the same people who designed it.
