Why a website needs a chatbot when it already has a contact form

A form works for people who have already made up their minds. A chatbot works for the ones who are still hesitating: a visitor won't fill out a form just to ask “do you deliver to Denver?”, but will happily ask it in a chat. In our projects, a website bot picks up the questions a form never gets, and turns some of them into leads.

The second reason is response time. A visitor who writes in the chat and gets an answer in seconds stays on the site. One who sends an email and waits until tomorrow leaves to compare competitors.

Types of website bots and their prices

Scenario bot with buttons ($1,900–5,000). The visitor follows branches: “get a price”, then “leave my contact”. It answers routine questions, collects requests and hands the conversation to a manager. It fits when questions are predictable: prices, timelines, terms, bookings

The rule is simple: if a template “question, button, contact” scenario is enough, start with a bot builder. If the bot has to live inside your processes (talk to the CRM, know your stock levels, answer from your knowledge base), a builder will quickly hit its ceiling, and the subscription turns into dead weight you can't easily drop. Tip

Don't order an AI bot “just in case”. Look at your visitors' real questions over a month: if 80% of them fit into ten typical ones, a scenario bot at $1,900 will do the job, and the thousands you save can wait until you have a real need for AI.

What goes into the price

Scenarios. Every branch of the dialog means design, copy and testing. A bot with three scenarios (Q&A, request, booking) costs less than a bot with ten.

Integrations. CRM, accounting system, payments, a booking calendar: each system adds $1,000–3,500. This is the most underestimated line in the quote: without integrations, the bot collects requests into a void.

The AI part. The knowledge base, answer tuning, protection against made-up answers and test runs on real questions: roughly half of an AI bot's budget goes here, not into “connecting the neural network”.

Channels. People often want the website widget backed by the same bot in Telegram and WhatsApp: one logic, three channels. It's cheaper to plan for this from the start than to bolt it on later.

When the bot pays for itself

Let's be conservative. A manager spends 2 hours a day on routine questions in chat and on the phone, which is 44 hours a month. A scenario bot takes over two-thirds of that: 29 hours a month. At around $20 an hour, that's about $600 every month. A bot at $1,900 pays for itself in 3–4 months and then works at a profit.

The second part of the effect is harder to measure but usually bigger than the first: requests that used to get lost at night, on weekends and whenever “all managers are busy”. Even a couple of saved deals a month at a typical B2B deal size covers the entire cost of the bot.

Important. A bot doesn't replace people; it takes the routine off their plate. At every step the visitor should have a “talk to a human” button, and the team should have an agreement on who picks up the conversation and how fast. Without that rule, a bot loses visitors' trust within a week.

How much does an AI chatbot for a website cost?

From $10,000. That covers a knowledge base built from your documents, tuning the quality of answers and test runs on real questions. Cheap “AI bots” sold for a fraction of that usually turn out to be a wrapper around a neural network with no quality control, one that confidently makes up prices and terms.

Can I add a bot for free?

Yes: most bot builders have free plans with limitations, such as the vendor's branding, a cap on conversations and no integrations. For testing the hypothesis “do we need a chat at all”, that's a fine start. For a working tool connected to your CRM, it isn't.

How is a website bot different from a Telegram bot?

Same logic, different channel. A website widget catches visitors at the moment they're choosing; a Telegram bot keeps people who already know the company. They work best together: one scenario, a shared knowledge base, requests in one CRM. Built together, the second channel costs 20–40% of the first, not the full price.
